PRIVACY STATEMENT

Victorian Science Fiction Conventions Inc (VSFC), in particular, its convention subcommittees, collects and maintains personal information about its members for the purposes of providing convention membership services to these people. This policy statement aims to provide assurance on how the VSFC complies with federal and state law while maintaining the confidentiality and privacy of its convention members and visitors to this website.

Personal Information means any information that may be used to identify an individual, including, but not limited to, a first and last name, a home or other physical address, an e-mail address or other contact information, whether at work or at home.

Entities in Victoria are bound by (1) the Commonwealth Privacy Act 1988 and its subsequent amendments and (2) the Victorian Information Privacy Act 2000.

Site Visit Data
VSFC does not collect any personal data from visitors to its website. People are encouraged to contact the VSFC on their own initiative to receive information about a convention.  However, as is the case for nearly all web sites, VSFC, via its hosting at Cannizaro Enterprises, makes a record of the user’s visit logging the following information for statistical purposes:

  • The referring server's address
  • the name of the top-level domain from which the visitor accessed the Internet (for example, .gov, .com, .au, .nz, etc)
  • the date and time of the visit to the site
  • the pages of this Site that were accessed and documents downloaded
  • the previous Internet address from which the visitor linked directly to this site. (In the cases where the referring site declines to pass this information on, these details are not obtained by the statistics server.)
  • VSFC will not identify users or their browsing activities, except where a law enforcement agency (or other government agency) may exercise a legal authority to inspect the ISP logs.

    This Site may have links to other web sites. These links are made available as a convenience only. VSFC does not control or maintain these web sites and is not responsible for the content and the privacy practices of other web sites. VSFC does not endorse or accept any responsibility for the content or use of any linked Site.

    Email Lists, Online Forms and Other Collection of Personal Information
    Members’ personal information will only be recorded if it is knowingly provide to VSFC. The Convergence 2 email newsletter is an opt-in electronic publication. Members will not be added to the list except with the member’s consent and he/she may elect to unsubscribe at any time.

    From time to time VSFC will contact convention members by email regarding important information about the convention. Members may decline to receive this information at any time by notifying the convention’s Membership Officer.

    Use and Disclosure of Personal Information
    Any Personal information recorded about a member of a VSFC convention will only be used for the purposes for which it was provided. VSFC maintains records of convention members and may use these to gather or update member details. These details are collected and stored purely for the business of VSFC.

    The VSFC will not disclose any personal information to a third party without the member’s consent, unless it is required or authorised to do so by law or other regulation. In the event of an investigation into suspected unlawful or improper activity, a law enforcement agency or government agency may exercise its legal authority to inspect the VSFC’s records, including the Member Register.

    However, in the case where VSFC stages a Worldcon, the members’ names and addresses of the Worldcon it administers, will be forwarded to the Worldcon immediately following for the purposes of nominating in the Hugo Awards, as defined by the World Science Fiction Society constitution (Article 3, Section 3.7 Nominations). The member information provided shall only be used for the purposes of the Hugo Nomination process.

    As is standard practice with conventions, member (or delegate) lists are published, containing the member or delegate’s name and home state or country. Members who do not wish their names to appear in such lists may elect not to be listed.

    Your Access to Your Personal Information
    If at any time a member may request details of his or her personal information VSFC may be holding, by emailing convergence@natcon.org.au

    A member may amend his or her personal information that is inaccurate, incomplete or out of date at any time by advising VSFC who will undertake all reasonable steps to correct the information so that it is accurate, complete and up-to-date.

    Security
    VSFC makes every effort to ensure the security of the members’ personal information collected in electronic or digital format.

    However, when providing Personal Information via an email or an online form, there are some risks to transmitting data via the Internet. No data transmission over the Internet can be guaranteed as totally secure. While all due care will be undertaken, VSFC does not warrant and cannot ensure the security of any information transmitted to it via the Internet. Accordingly, any information which is transmitted to VSFC is transmitted at the sender’s own risk. Once the transmission is received by VSFC, reasonable steps to preserve the security of such information will be undertaken.
